  • Decide if there's a keynote speaker (5-10 min open) or just discussion.
  • Curate the invite list across at least 2 circle topics if the goal is cross-pollination.

  • Send invites + brief 'who else will be there' tease to confirmed attendees.
  • Confirm seating plan — round tables of 6-8 work better than one long table at this size.
T-7
  • Keynote speaker prep call. Keep them to 7 min — they always go long.
  • Plan one prompt per table for discussion after the keynote.
day-of
  • Arrive early. Be at the door for the first 10 min.
  • Open with 90 seconds of framing → keynote → table discussions → reconvene with 2-3 surfaced themes.
