Hybrid (in-person + virtual)

Mixed in-person + virtual format. Useful when key panelists or speakers can't travel — but operationally the most demanding. Only run hybrid when the in-room experience can stand on its own without the remote feed.

Timeline
T-30
  • Decide what's in-room vs. remote. Don't make the in-room audience watch a screen for an hour.
  • Confirm A/V setup — hybrid requires real production, not a laptop on a tripod.
T-14
  • Test the remote speaker tech with each remote panelist individually.
  • Plan how remote attendees participate — chat, Q&A, both?
T-7
  • Full dry run with all panelists (in-person + remote) on Zoom / venue link.
  • Designate a 'remote producer' — someone watching the chat + queuing Q&A.
day-of
  • Arrive 60 min early. Hybrid setup always takes longer than scheduled.
  • Greet remote attendees by name in the first 5 min so they feel present.
  • Save 20% of Q&A time for remote attendees explicitly.
Common mistakes
  • Pretending remote attendees are equal — they're not, and the format should acknowledge that.
  • No remote producer. Chat questions get lost, attendees feel ignored.
  • Underestimating A/V cost. Real hybrid is 2-3x a standard event.
